Customer Service and OPs assistant (Temporary)

Luxe Talent, international recruitment agency, is searching for a talented Customer Service and OPs Assistant to join an interesting temporary project in Madrid.

Job Description as Customer Service:

The purpose of the role will be to support, control and reporting of daily activities of Customer Service and Ops team. Ultimate purpose is to grant Company standards, efficiently respond to Customer administrative and operational needs and action all tasks to account everything in a timely manner in our ERP and other systems (Customer Portals, Suppliers Portals, Excel Files, Retailing systems…)

Key Duties and Responsabilities:

Brexit related

  • Creation of all documents in regards physically movement of goods as well as accountant and custom related ones
  • External WHSE control
  • Assistance to bounded warehouse implementation needs
  • Reporting of movements and invoicing
  • Analysis and clearance of WHSEs
  • Support to Next commission model (to be kept during PANEU period)

PANEU related

  • Order Entry and Follow up with Partners ensuring their acknowledgement
  • Populating Partners templates
  • Business Partner Catalogue updates for invoice and label purposes
  • POD Retrieval
  • Analyzing & Maintaining Reporting Files: Release, Missing Stock, Transit Times, dashboard
  • Action and track of weekly approved penalties to dispute
  • Case Log control
  • Catalogue upload (per market) ASIN/EAN
  • Control of Samples
  • Coordinating with PANEU Coordinator on day to day duties


  • Administration related, accountancy studies superior
  • High level of English (is a must)
  • At least 4 years’ professional experience in a similar position
  • Accustomed to working in a multinational environment
  • SAP/SBO, EDI knowledge is a plus
  • High control of Excel and reporting mindset and analytical skills are requested
